You’ve been on the fence for months, maybe longer. Your current gym software is costing you valuable time or missing features you need to run your business. Maybe you don’t understand the pricing or you’re simply not getting what you thought you signed up for.

You know a better option is out there, and you’ve probably looked at a few. But then you close the browser tab.

Because switching gym software seems like a massive undertaking and you don’t have the time or energy. You ask yourself all the questions. How do I even handle the migration, like member data, billing history, and class schedules? What if my members get frustrated? Is making the switch going to be worth it?

At Wodify, we get it. We work with thousands of fitness business owners around the world running CrossFit affiliates, Jiu-Jitsu academies, yoga studios, and more. What we’ve found is that fear of the switch is usually more overwhelming than the switch itself. But when you do it with a plan and a rock-star support team, switching gym software is far less painful than staying with one that’s not working for you. Here’s how to do it the right way.

Before You Switch: Determine Your Why

For most of the fitness business owners we’ve talked to, the decision to switch software doesn’t come from a vague frustration level. It doesn’t sound like, “Well, it’s kind of clunky.” Usually, there are key features missing or unmanaged tasks that are costing them time.

Before you start comparing software options, write down your (super-specific) frustrations. Because this list will show you exactly what success looks like once you switch. For example:

  • I’m paying for features I never use, while the ones I need are add-ons
  • The price I was quoted doesn’t match what I’m being charged
  • I’m spending way too much time doing admin tasks manually
  • My clients are here for results and they can’t even track their performance
  • The software or app keep crashing
  • I’m duct-taping together multiple platforms to manage everything, and paying for each one
  • I can’t run custom reports to see a snapshot of how my business is performing
Start by listing your frustrations and requirements for switching gym software.

5 Steps for Seamlessly Switching Gym Software

Now that you have your list of the key features and requirements that are unique to your business, it’s time to start the process of switching gym software. Here are the five steps:

1. Research Gym Software and Ask the Right Questions Before You Commit

Not all gym software is created equal, and a high-level demo or slick salesperson might be a blocker for you getting exactly what you need. That’s why it’s important to have a list of the right questions to ask, and really get into the weeds for your specific business. Here are some examples:

  • Instead of asking if they offer support, ask specific questions about how you reach the support team if an issue arises. Ask about the average response time or off-peak hours support.
  • When it comes to data migration, who handles it? What does it include and how long does it generally take? A solid gym software platform should own the process, not tell you good luck with your CSV spreadsheet.
  • Get the details about your specific business type. If you run a CrossFit affiliate, what does WOD tracking look like? If you open a Jiu-Jitsu academy, can the platform manage belt tracking? What about multiple locations or appointments versus classes? The right gym software should handle the full range of how fitness businesses actually operate, not just the most common use cases.
  • What does the product roadmap look like? Find out if the platform is actively investing in new features or if development has slowed to a crawl. Remember, you’re not just signing up for what the software can do today, but how it will evolve with the industry in the future.
  • Read the reviews. Find out what other fitness business owners are saying about the gym software. Especially the ones who run a similar operation to yours. Dig deeper than the testimonials on the platform’s own website. This one is worth doing the research to find patterns in what people love and what they complain about.

2. Get Prepared for Onboarding

Reputable gym software companies will get you set up properly with an onboarding process. Keep in mind, even if it’s extensive, that doesn’t have to mean overwhelming. The goal of good onboarding is to make sure you know what to expect and what to do.

Here’s some advice directly from John Rittmann, a Customer Success Manager on the Wodify Onboarding Team:

  1. Think about how you want things organized. The Wodify onboarding team will help to make sure your memberships, profiles, and branding are optimized for your goals. The clearer the vision you have going in, the better we can help you execute it.
  2. Have a list of your current customers and leads in a spreadsheet. Then watch our onboarding experts utilize top-of-the-line tech to organize your spreadsheets in seconds.
  3. Be prepared to learn. Over your series of onboarding sessions, we’ll help you understand all the tools available to help you manage operations and grow your business.
  4. Think through any custom automations you want to execute. Do you want people to get a message from you in their birthday? What about after they attend their 100th class? Do you want lead profiles to be tagged in a specific manner based on how you engaged them?

3. Pick a Convenient Date for the Big Switch

You know your calendar better than anyone. For a lot of fitness businesses, January is a hard pass. The week before a you’re hosting a local CrossFit competition or the week after a major holiday are both sheer chaos.

Pick a transition date during a predictable, mid-volume stretch, and give yourself a buffer on either side. Set the date, then work backward to build your timeline. Here at Wodify, our onboarding team will strategize with you to see the best possible timeline for launching your business.

4. Train Your Staff on the New Gym Software Before the Switch

Before the new gym software goes live, it’s important for anyone who’ll be interacting with it to actually understand it. This might sound like an obvious step, but when staff members get busy, it’s easy to default to, “I’ll get them set up later.”

Start simply with a list of the two or three tasks each staff member does daily. These could include things like check-ins, coach updates, selling retail products, etc. Then make sure everyone can confidently accomplish these tasks before the official launch date.

Make sure all staff members understand the software and tasks required of them.

Great news: Wodify has now made it even easier for your team to learn their new gym software with the Wodify for Coaches online course! Save time and help them understand all the products and features, covering everything from updating their coach bio to sending and signing a waiver.

5. Communicate Clearly With Clients Ahead of Time

It’s not uncommon for fitness business owners to think that clients are going to freak out when they hear about a gym software switch. But the truth is, frustration usually only bubbles up when they don’t know about it in advance. Or if they have trouble doing the tasks that used to be easy on their old app, like booking a class or updating their billing info.

As long as you communicate clearly about the switch, and give clients some heads up as to what to expect, there’s generally no friction. Send the first message a couple weeks in advance and keep your messaging simple: We’re upgrading our gym software to [Company Name]. Here’s what’s changing, what’s staying the same, and what you need to do (if anything). Then follow up with one more reminder a few days ahead of the switch.

Your goal is to make clients feel like this is a positive change, not only for the business and staff, but for them as well. Most members genuinely won’t care which software you choose as long as it works for them.

The Fear of Switching Gym Software vs. the Reality

If you’re like most fitness business owners, the fear of switching gym software includes disrupted operations, confused members, and weeks of migration headaches. But the reality (from thousands of gym owners who’ve done it) is that the dread going in was far worse than the switch itself.

The real issue is staying too long on software that isn’t working. From paying for features you never use to constant app crashing, the wrong software can cost you time, energy, and money. Plus, every month you wait to switch might actually be prohibiting the growth of your business.

If your current software isn’t working for you, it’s time to explore switching. Determine the reason why, then follow the steps above and head down the path of your long-term success.
